Pending Clinic Approval: Reviewing & Confirming Appointments

The Pending Clinic Approval page is used to review and confirm appointments that require clinic authorization before becoming active.

Updated over a week ago

Appointments booked through the public online booking portal or via insurance / TPA channels do not become active immediately. They must first be reviewed by the clinic to ensure accuracy and availability.

When Appointments Require Approval

An appointment appears under Pending Clinic Approval when it is:

  • Booked from the public online booking page

  • Submitted through insurance or TPA flows

  • Subject to clinic validation rules

Once approved, the appointment moves to Open / Pending Appointments.

What You See on the Pending Approval Page

Each pending appointment includes:

  • Customer Number

  • Reference Number

  • Booking Date

  • Creation Date

  • Order Status: Pending

Available Actions

For each pending appointment, clinics can take the following actions:

1. View Details

Click View Details to review full appointment information, including:

  • Patient name

  • Mobile number and email

  • Relationship (Self / Dependent)

  • Insurance company and policy ID (if applicable)

  • Assigned doctor

  • Requested appointment date and time

2. Approve Order

Click Approve Order to:

  • Confirm the appointment

  • Activate it in the clinic schedule

  • Make it visible in Open / Pending Appointments

Once approved, the appointment follows normal operational flow.

3. Cancel Order

Click Cancel Order to:

  • Reject the booking

  • Prevent it from entering the active schedule

Cancelled appointments remain visible in Appointment History for tracking and audit purposes.

Why Clinic Approval Is Required

This approval step exists to:

  • Validate insurance and TPA information

  • Prevent duplicate or conflicting bookings

  • Ensure doctor availability and clinic readiness

  • Maintain control over clinic workflows

📝 Notes

  • Pending appointments are not visible in the active schedule until approved.

  • No invoices are issued until the appointment is approved and completed.

  • All approval and cancellation actions are logged for operational traceability.
