Invoice History: Viewing, Managing & Taking Action on Invoices

The Invoice History page in VitaNet ePOS provides full visibility into all issued invoices. It allows pharmacies, and laboratories to review transactions, access invoice details, and perform key post-sale actions such as printing, sharing, or refunding invoices.

This page serves as the primary reference point for financial review, daily reconciliation, and audit purposes.


What You See on the Invoice History Page

1. Invoice Summary Cards

At the top of the page, you’ll find quick statistics that update automatically:

  • Today’s Orders

  • Yesterday’s Orders

  • Orders from the Last 7 Days

  • Orders from the Last 30 Days

These summaries help you quickly monitor sales activity and trends.


2. Filters & Search Options

You can narrow down invoice results using:

  • Customer

  • Date range (From / To)

  • Payment Method (Cash or Card)

Click Filter Orders to apply filters, or Clear Filter to reset and view all invoices.


3. Invoice List (Orders Table)

Each row represents an issued invoice and includes:

  • Customer number or Guest

  • Reference number

  • Invoice number

  • Creation date & time

  • Total amount

  • Tax amount

  • Payment method

  • Action menu (View details)

This list gives a complete overview of all transactions recorded through VitaNet ePOS.


Viewing Invoice Details

Click the View icon on any invoice to open the Invoice Details page.

Inside the invoice view, you can see:

  • Customer information

  • Invoice number and creation date

  • Payment method and payment status

  • Total amount and tax

  • Full Patient Invoice Preview on the right side

This preview reflects the exact invoice issued to the customer, following compliant formatting rules.


Actions Available on an Invoice

From the invoice details page, you can perform several actions:

Download Invoice

  • Download the invoice as a PDF for records or offline use.

Print Invoice

  • Print a physical copy directly from the system.

Send Invoice

  • Send the invoice to the customer via email.

Share Invoice Link

  • Generate a shareable link for digital access (useful for customers or internal sharing).

Record a Refund

  • Click Record Refund to process a refund:

    • Select item(s) to refund

    • Confirm refund details

  • Refunds are recorded against the original invoice and do not delete it.

All actions are logged for audit and compliance purposes.


Important Notes

  • Invoices are never deleted—even when refunded.

  • Refunds maintain a clear link to the original invoice.

  • All invoice actions are traceable through an audit trail.

  • Invoice History is read-only for amounts; edits require proper refund or correction flows.
